Background and Overview of the "VIP Lounge Usage Visualization System" Development

As one of Japan's largest exhibition organizers, RX Japan hosts over 90 large-scale events annually. During the COVID-19 pandemic, exhibition sizes were reduced, and visitor numbers dropped. However, following the May 8, 2023, reclassification of COVID-19 as a Category 5 infectious disease, event restrictions were lifted, leading to a surge in attendance and a heightened need for real-time crowd monitoring.

To address these challenges, Asteria and Okaya Electronics developed the VIP Lounge Utilization Visualization System, leveraging Gravio’s IoT capabilities. The system was deployed at Tokyo Big Sight from June 28-30, 2023, during the Municipal & Public Week 2023 and Japan Sports Week 2023, which saw approximately 45,000 attendees over three days.

How the VIP Lounge Utilization Visualization System Works

The system utilizes 64 sensors, including motion detectors, CO2 sensors, and environmental sensors, to monitor and visualize real-time lounge occupancy. These battery-powered motion sensors operate without external power, making them easy to deploy.

Congestion Monitoring & Status Display

Visitors could check lounge congestion in advance through:

  • Smartphone Access – Scanning a QR code to view real-time occupancy.
  • Digital Signage – Displays at VIP Lounge entrances showing congestion status.
  •  Exhibition Hall Booths – Live updates at the Okaya Electronics booth.

Impact & Benefits

  •  Enhanced Visitor Experience – Attendees could choose less crowded lounges, improving comfort and reducing wait times.
  • Reduced Dropout Rates – Real-time visibility prevented overcrowding, encouraging more attendees to utilize the VIP spaces.
  • Improved Event Management – Organizers gained data-driven insights for better space utilization.

Future Developments

Looking ahead, Asteria and Okaya Electronics will continue supporting the post-pandemic revival of events. By visualizing visitor numbers and lounge usage, they aim to further optimize crowd control and enhance exhibition and event management.
